Cancellation Policy

• Welcome to Imbabali Retreat & Venue. These Terms & Conditions outline the rules for using our property, facilities, and website. By proceeding with a booking, entering our property, or using our services, you agree to the following legally binding terms and conditions. These govern your stay and apply to all guests and visitors entering the property. The person making the reservation confirms they have read, understood, and accepted these terms and conditions and undertakes to communicate them to all members of their party.
• Booking & Payment Terms
• 1 A 50% deposit is required to secure your booking. Reservations are confirmed on a first-paid, first-served basis.
• 2 No booking is considered confirmed until the deposit is received.
• 3 The remaining balance is due no later than 7 days prior to arrival.
• 4 A refundable breakage deposit of R800 per unit (cottage/chalet/house) must be paid via EFT at least 48 hours before arrival (We do not accept the breakage deposit in cash or credit card). This covers breakages, lost keys, or excessive cleaning.
• 5 Refunds of breakage deposits will be processed within 3 business days after departure. Guests must provide banking details for this purpose.
• 6 Any bank charges incurred from cash deposits will be deducted from the total received.

• Cancellation & Refund Policy
• 1 Cancellations made:
• 14 days or less before arrival: 100% forfeited (includes no-shows)
• 15 - 21 days before arrival: 75% forfeited
• 22 - 30 days before arrival: 50% forfeited
• 2 Reservation changes are permitted if requested at least 14 days before arrival.
• 3 No refunds are issued for early departures, partial stays, or absent guests.
• Accommodation Rates
• 1 Babies under 2 years stay free.
• 2 Rates per person per night apply.
• 3 Cottages - B & B - R960. Children - R672. Self-catering - R810. Children - R567.
• 4 Wild Olive Chalet - B & B - R1140. Children - R798. Self-catering - R990. Children - R693.
• 5 Grapevine House: R8100 per night (flat rate).
• 6 Camping (max 4/site): R180 | Children R126.
• 7 Caravanning (max 4/site): R410 | Children R287.
• 8 All rates are subject to change without prior notice.
• Minimum Stay Requirements
• 1 Public holiday weekends (Friday or Monday): Minimum 2 nights.
• 2 Peak periods: Minimum 3 nights.
• Arrival & Departure
• 1 Check-in times:
• Accommodation: 14h00 - 19h00
• Camping: 12h00 - 19h00
• 2 Early check-in (if available) will be charged at the full daily rate.
• 3 Early arrival is R150 per person by arrangement only.
• 4 We are unable to accommodate arrivals after 20h00.
• 5 Check-out times:
• Accommodation: strictly by 10h00
• Camping: strictly by 11h00
• 6 Early check out (before 08h00) must be communicated in advance.
• 7 Late check out is charged at R250 per hour.
• 8 No Day Visitors are allowed at the accommodation.
• 9 Please note that the number of guests is strictly limited to your official booking.
• Restaurant & Meals
• 1 Our fully licensed restaurant serves breakfast, lunch, and dinner.
• 2 Breakfast hours: 08h00 - 11h00.
• 3 No outside food or beverages are permitted in the restaurant, venue areas, or pool.
• 4 Operating hours:
• Monday & Tuesday: Closed
• Wednesday & Thursday: 08h00 - 18h00
• Friday & Saturday: 08h00 - 20h00
• Sunday: 08h00 - 18h00
• 5 Day visitors are not permitted in accommodation areas but may dine at the restaurant.
• 6 All food and beverages are billed separately unless included in your package.
• Housekeeping & Conservation
• 1 Swimming towels are not provided - please bring your own.
• 2 Daily housekeeping is provided.
• 3 Linen is changed every fourth day for extended stays.
• 4 Charges for accidental linen damage:
• Single bed: R250
• Double bed: R350
• 5 Guests are encouraged to use water and detergents responsibly.
• 6 No blankets, sheets, pillows, cushions or linen may be removed from the accommodation and may not be used as a picnic blanket or in the braai area.
• 7 For streaming services (Netflix, DSTV & Disney Channel), please use your own log in details and do not plug in any foreign devices.
• Noise & Behaviour
• 1 Imbabali is a tranquil, nature-focused retreat.
• 2 No music is allowed from any device or vehicle at any time.
• 3 Silence is required after 22h00.
• 4 No parties, loud gatherings, or day visitors permitted.
• 5 Disruptive or disrespectful guests will be asked to leave immediately without refund.
• 6 Abusive language, discrimination, or anti-social behaviour will not be tolerated.
• Facilities & Risk
• 1 All facilities are used at your own risk.
• 2 Imbabali Retreat & Venue is not liable for injury, loss, damage, or theft.
• 3 No glass containers, food, or drinks are allowed near pools.
• 4 Candles, incense, and indoor smoking are strictly prohibited.
• 5 Smoking is permitted outdoors only.
• 6 Children must always be under the direct supervision of a responsible adult while on the property. Due to the presence of open water, including dams, a river, furrow and swimming pools, minors may not be left unattended anywhere on the grounds.
• Pets
• 1 Only social dogs are allowed - no other pets are permitted.
• 2 Conditions:
• Must be vaccinated and not in heat
• Owners must clean up after pets
• Dogs should be leashed on trails
• No excessive barking or chasing wildlife
• No swimming in pools
• Dogs are allowed to swim in dams, furrows and rivers only
• Owners accept full responsibility
• Camping Rules
• 1 Specific sites are not guaranteed.
• 2 Vehicles must be parked on-site unless otherwise instructed.
• 3 Excessively dirty or damaged sites will incur a cleaning fee.
• 4 No trenches, littering, or cigarette butts.
• 5 Fires allowed only in designated fire pits.
• 6 No sparklers, fireworks, or sky lanterns.
• 7 No wood collection ? firewood, charcoal, and firelighters are available for purchase.
• 8 Braai grids are available at the restaurant. A deposit is required.
• Safety & Conduct
• 1 Free-roaming dogs must not be fed or mistreated.
• 2 Drive slowly - maximum speed 20 km/h. Children and animals have right of way.
• 3 No firearms, ammunition, or explosives allowed.
• 4 No quad bikes, trail bikes, or motorbikes.
• 5 Bicycles and e-scooters may be used with safety gear, not after dark or in communal areas.
• 6 This is a drug-free venue?no narcotics or marijuana permitted.
• 7 Guests may be asked for identification to verify bookings.
• 8 Please always use your designated parking.
• General Property Use
• 1 Please do not remove or damage any plant, fruit, or vegetable.
• 2 Keep your site clean and use designated rubbish bins.
• 3 Report any damage, breakages, or maintenance issues immediately.
• Lost Property
• 1 Contact us via WhatsApp at +27 (83) 311 1146 to claim lost items.
• 2 Unclaimed items will be donated or discarded after 30 days.
• Data Protection
• 1 Guest information is stored securely and will not be shared with third parties.
• 2 By booking, you consent to the use of your data for reservation and communication purposes.
• Photography and Media Consent
• I acknowledge and consent that any photographs or videos taken of me and/or my guests during our stay at Imbabali Retreat & Venue may be used by the establishment for marketing and promotional purposes. This includes, but is not limited to, publication on social media platforms, the official website, printed materials, or any other advertising channels. No compensation will be due for such use, and all media content will remain the property of Imbabali Retreat & Venue. If any guest does not wish to appear in photographs or videos, it is their responsibility to inform management in writing prior to or upon arrival.
• Subscription Renewal Terms
• 1 If you do not cancel your Subscription before the Renewal Date, your Payment Method will be charged for a Subscription for the Renewal Term, unless you opt out of the auto-renewal or cancel your Subscription.
• 2 If your Subscription was purchased through the Website, and you mistakenly renewed your Subscription, email [email protected] within 30 days of your Renewal Date and we may refund your renewal payment. Refunds cannot be claimed for any partial subscription period after the first 30 days from any such renewal.
• Artificial Intelligence Features
• 1 We may provide features utilizing artificial intelligence (?AI Features?).
• 2 AI-generated content:
• is provided for assistance only;-? may acquire customer information;
• may contain inaccuracies; and
• must not be relied upon as professional advice.
• 3 You use AI Features entirely at your own risk.
• Right of Admission
• 1 Imbabali Retreat & Venue reserves the right of admission.
• 2 Terms may be updated without prior notice.
• 3 Errors & Omissions Excepted (E&OE).
• Legal Disclaimer & Indemnity
• By entering the property, I, on behalf of myself and any dependents, heirs, or guests in my care, do so entirely at my own risk. I hereby release, indemnify, and hold harmless Imbabali Retreat & Venue, its owners, staff, and agents from any liability for death, illness, injury, loss, or damage to person, vehicle, animal, or belongings. This includes any incidents involving children under my care.
